FlowProofs vs Power BI

A Power BI alternative for people who don't want to learn DAX.

Power BI is a serious BI platform. Most monthly reports do not need one.

The short version

Use Power BI if you have a data model with many related tables, need row-level security across hundreds of users, or already run on Microsoft 365 E5, where Pro is included.

Use FlowProofs if you need to explain a handful of numbers to people who ask questions, want viewers to open a link for free, and would rather write = Revenue - Costs than a DAX measure.

DAX measurefxMargin % = DIVIDE(SUM(Sales[Profit]), SUM(Sales[Revenue]))FlowProofsfxMargin = @Profit / @Revenue * 100Margin35%
The same number. One version needs a semantic model; the other needs two named numbers.

Where Power BI is better

Big, governed data models

Star schemas, dozens of tables, relationships with filter direction, incremental refresh on millions of rows. Power BI is built for this. FlowProofs is not, and pretending otherwise would waste your time.

Row-level security at scale

If 400 regional managers each need to see only their own region in the same report, Power BI's RLS roles do that cleanly. Our sharing is per link, which is the wrong shape for that job.

The Microsoft stack

If your company runs on Microsoft 365, Teams and Azure, Power BI fits into SharePoint, Teams tabs and Entra ID groups. If you already pay for E5, Pro costs you nothing extra.

Breadth

More chart types, paginated reports, a huge community, and years of answered questions on every forum. When you hit a strange problem, someone has already solved it.

Where FlowProofs is better

No DAX

Margin is @Profit / @Revenue * 100. There is no filter context to reason about, no CALCULATE, no difference between a measure and a calculated column to explain to a new hire.

Viewers are free

Send a read-only link to the board, a client or the whole sales team. Nobody needs a licence to open it, on any plan.

The explanation is the layout

Draw the argument: this number is made of these three, and this one moved. A canvas shows cause and effect in a way a grid of tiles does not.

Minutes, not a project

Upload a spreadsheet and build the first canvas in the same sitting. No gateway, no workspace setup, no semantic model to publish first.

Can you use both?

Plenty of teams should. Keep Power BI as the system of record for the data model and the operational dashboards people check daily.

Use FlowProofs for the monthly review, the board update or the client meeting, where five numbers need explaining to people who will never open Power BI. Export the table you need from Power BI to CSV, or point both tools at the same Postgres database.

Questions

Is FlowProofs a full Power BI replacement?

For most teams, no. If you rely on DAX models, RLS roles or paginated reports, keep Power BI. FlowProofs replaces the slide deck and the spreadsheet bridge that get built from Power BI exports.

Can I import a Power BI report?

Not the .pbix file. Export the underlying table to CSV or Excel and upload it, or connect the same source directly.

Do viewers need a Microsoft account?

No. A FlowProofs share link opens in any browser with no account at all.

Does it work on a Mac?

Yes. FlowProofs runs in the browser on any operating system. Power BI Desktop, the authoring app, is Windows only.
